Overview

Reporting directly to the Vice President of Partnerships and Live Events, the Event Operations Manager spearheads the dynamic implementation and flawless execution of initiatives tied to ongoing partnerships and live events.

 

This pivotal role hinges on meticulous project management expertise, where success is gauged by the precision of operational processes and practices.

 

Crucially, the manager ensures that ministry initiatives progress on time, within scope, and under budgetary constraints.

 

Embracing robust project management methodologies, the Event Operations Manager navigates daily responsibilities while meticulously tracking Key Performance Indicators (KPIs) to drive and measure triumphs.

 

Here's the experience we are seeking:

  • 2-4 years of experience working as a Project Manager on mid-size projects with several business sponsors, timelines, and dependencies.
  • Experience successfully planning, organizing, leading, directing, and managing projects.
  • Demonstrated knowledge of Project Management Life Cycle methodologies (e.g., PMI PMBOK).
  • Proficiency with MS Project and MS Office products (Word, Excel, PowerPoint, Access, Visio, Outlook).
  • Experience working directly with various levels of stakeholders to gain trust, influence, and establish consistent rapport for project management work.
  • Employ a collaborative and flexible style, with strong service mentality. Must be a team player and leader.
  • Possess excellent interpersonal skills with the ability to develop sincere business/ministry relationships. Exhibit high emotional intelligence.
  • Strong written and verbal communication skills with the ability to clearly communicate with various stakeholders.
  • Strong technical documenting skills; particularly with using Microsoft Word, Excel, Visio, and cloud- based collaboration tools.
  • Strong organizational skills with the ability to work independently and as part of a team.

Education 

  • Bachelor’s degree, or combination of education/training with relevant experience.

Here's some of what you will be doing: 

  • As a member of the Partnership & Live Events team, demonstrates the team’s vision in day-to-day activities and ministry initiatives.
  • Partners with Team Members to help them achieve their goals through project scoping, monitoring milestones, removing roadblocks, and addressing needed decisions.
  • Support Marketing by helping brainstorm effective event branding and recommending appropriate radio, digital, and social run of schedules to meet the needs of the event.
  • Assist with presenting effective copy for radio, digital, and social schedules to maintain our Brand while promoting the event.
  • Maintain fiscal responsibility including presentation of budgets to Vice President of Partnerships and Live Events ahead of event(s). Provide follow through maintaining budgets to final settlements. 
  • Demonstrate initiative with proactive follow-up and servicing ongoing relationships; help drive decisions by providing timely response to questions, concerns, and requests for information.
  • Drive change through facilitating stakeholder collaboration, smoothing communication barriers when they exist.
  • Strategize policies and processes to ensure internal team and partners complete tasks on schedule.
  • Manage stakeholder expectations across key project constraints including budget, time, quality, resources, and scope.
  • Develop comprehensive project deliverables including project plans, project strategy/vision, charter, goals and objectives, scope, schedule, and resource requirements (i.e., budget, people, and tools).
  • Partner with senior-level team members in creating project risk and issue management plans, including appropriate mitigation and contingency plans.
  • Provide project updates to project teams, and key stakeholders on a regular basis, including reporting on project issues and risks.
  • Think outside of the box to remove roadblocks and support the project team to achieve results.
  • Consult and collaborate with senior-level Team Members and project stakeholders to create, review, and approve project proposals.
  • Manage multiple mid-size projects simultaneously.
  • Hold project Team Members accountable for completing project work on time, in scope and within budget, meeting customer expectations.
  • Take full responsibility for own work and tasks, and that of others where applicable.
  • Perform other duties as assigned.
