The Executive Assistant will serve as a key strategic, creative, and administrative resource for the Chief Radio Officer through project management, operational, and administrative duties. This role will also assist with Programming Team-wide duties as assigned. This position independently manages various projects including individual and department projects, delegations, and timelines.

Here’s just some of what you will be doing daily…
- Perform duties of an Executive Assistant 60% of work week and perform duties of a Radio Programming Coordinator 40% of the work week, with Executive Assistant responsibilities receiving priority.
- Handle administrative duties and manage the calendar for the CRO, ensuring time and focus are available for executive-level responsibilities. Anticipate opportunities and needs as much as possible.
- Conduct research, collect, and analyze data, and prepare reports and documents, as requested by the CRO.
- Effectively and efficiently route and answer questions not requiring CRO’s attention or time.
- Assist and coordinate CRO expense reports. Review CRO’s direct reports and expense reports and offer guidance with best practices. This includes leading coordination for Programming, News, and Broadcast Operations Team Pre-Approvals, Approvals, and Department Reporting following K-LOVE guidelines.
- Act as the main point of contact for CRO’s director reports, CRO’s teamwide staff, and outside contacts on both internal and external inquiries, appointments, and concerns. Provide outstanding service to each contact, proactively respond to inquiries and concerns; clearly, kindly, and positively communicate solutions with exceptional follow through.
- Build relationships with people and teams across the organization to foster collaboration, process improvement and resolve issues including shared meeting planning/agendas with other departments and outside vendors.
- Assist and coordinate the CRO’s Director’s budget working with them in Prophix as requested by the CRO. Develop a system and regularly keep CRO updated on each Director’s budget and any issues that come up.
- Manage vendor relations per agreed-upon contracts, including review and code invoices to correctly reflect budgets. Additionally, monitor the timeliness of contract reviews, renewals, or cancellations.
- Make travel arrangements for CRO and direct reports, noting personal details, providing options, and balancing within the guidelines of the Team Member Handbook.
- Serve as the primary administrative resource for the CRO including, but not limited to development of correspondence of both confidential and non-confidential matters, email and voicemail communication, and other general administrative functions as needed. This includes helping to book meetings, document meeting/discussing highlights, coordinate schedules, and handle a variety of meeting logistics as well as booking travel for the CRO, as requested.
- Share team coordination, office management, and liaison between security, facilities, and property management duties with EA for VP of Radio for the Franklin Studio/5th Floor HQ Building. This includes assisting with team events and training such as team building/retreats, meetings, holiday celebrations, and connection group sign-ups, greeting visitors, giving tours, organizing timing on repairs with facilities, ordering kitchen and office supplies, and arranging for coffee and meals for studio staff during pledge drives and vendor meetings.
- Partner with CRO and Human Resources to coordinate hiring of new Team Members including interview set-up and tracking of candidates through the process. Proactively assist with onboarding new Team Members including setting up Appropriate meet and greets, answering questions, and training.
- Perform additional Radio Programming Department duties as interest, expertise, qualifications, and time allow. Such as: calling listeners, recording, editing, and tagging the pieces to tell impact stories on how God is using K-LOVE/Air1; and/or coordinating with our DJs, video, and/or social media teams on content creation; or involvement in music research; and/or an on-air shift; or other.
- Perform other duties as assigned.
We are looking for a very specific skill set and business acumen. Here's some experience we are seeking:
- Bachelor’s degree, or combination of education/training with relevant experience.
- Minimum of 5 years of experience working as an executive administrative/project management capacity.
- Radio, Media, or TV experience is desired.
- Project management experience with a proven ability to plan, organize, lead, and direct projects/events within timelines and budget.
- Advanced computer skills in Microsoft Office products (TEAMs, Word, Excel, PowerPoint, Outlook).
- Expertise in Concur, Medius, ADP, Prophix, Tableau, and Sharepoint a plus.
- Experience monitoring/coordinating contracts and agreements.
- Strong written and verbal communication skills. Adept to various working and communication styles.
- Ability to effectively multi-task in a fast moving, high change environment.
- Highly organized with good follow-through and follow-up. Ability to manage multiple tasks independently and pay attention to details while keeping the big picture in mind.
- Ability to work patiently with a highly creative team. Previous work in the radio or music industry would be a plus.
- Excellent interpersonal skills with the ability to develop collaborate relationships and partner with others.
- Demonstrates mature emotional intelligence, including composure, handling tension/stress appropriately and establishing rapport with others.
- Proven experience with solving problems, analyzing issues, and making sound decisions.
- Demonstrated ability to represent ministry and executive staff professionally and maintain confidentiality.
- Passion to assist others through a long-term administrative and office role.
