Overview

Reporting to the Activations Manager, the Senior Activations Coordinator plays a key role in supporting the operational and logistical success of the Live Events department. This position ensures that deadlines, communications, and event details are organized, visible, and accessible across teams. The Senior Coordinator provides high-level administrative and production support to the Director of Activations, helping to bring branded and partner events to life with excellence. From pre-production planning to on-site execution, this role maintains clear communication with internal stakeholders and external partners demonstrating discretion, professionalism, and exceptional attention to detail at every step. K-LOVE and Air1 values will be reflected in this role as well as concise communication between executives, artist labels, and Ministry partners.

This is an in-office role in Franklin, TN

 

Here’s just some of what you will be doing daily…

  • Manages day-to-day traffic – for the Activation department, caring for needs/requests as they arise to maximize effectiveness with Activations Team as assigned by the Director of Activations.
  • Anticipate needs before, during, and after events—proactively identifying potential challenges and offering practical solutions.
  • Maintain organized event documentation, timelines, and task lists to ensure all deliverables are met and communication remains clear across departments.
  • Support the Director and Manager of Activations with scheduling, travel coordination, expense tracking, and vendor communications.
  • Work with other coordinators in the department to create seamless unity and connections through the team.
  • Assist with event contracts, purchase orders, and invoicing, ensuring accuracy and compliance with organizational policies.
  • Prepare and distribute run-of-show documents, contact sheets, and production schedules for live events and activations.
  • Serve as an administrative resource for the Activations team—keeping resources, reports, and updates visible and accessible.
  • Communicate with external vendors, partners, and venues to confirm logistics, deliveries, and on-site needs.
  • Provide on-site event support, managing details with calm professionalism under pressure.
  • Uphold the ministry’s values through excellence, hospitality, and attention to detail in every interaction.
  • Research, learn, and develop relationships with vendors in the promotional, branding, vendor booth industries.
  • Provide support, prioritization, and organization for all communication within the department.
  • Streamline work and processes through the creation of useful and efficient systems.
  • Perform other duties as assigned.

  • Bachelor’s degree in communications; marketing, media or live events experience.
  • Minimum 4 years of experience working in radio, broadcasting, media and/or executive level support.
  • Strong computer skills; advanced knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook); Mac and PC.
  • Technology savvy. Familiar with a variety of media outlets and technology, including social media.
  • Strong organizational and administrative skills.
  • Excellent interpersonal skills with the ability to develop sincere business/Ministry relationships.
  • Demonstrated ability to work independently; establishing and meeting performance/Ministry goals.
  • Exhibits versatility and flexibility. Regularly adapts to change while maintaining a positive attitude and high productivity.
  • Discretion and attention to detail along with excellent communication with vendors is of the utmost importance.
  • Demonstrated ability to represent Ministry and executive staff professionally and maintain confidentiality.
